FIELD TRIPS

All documentation and forms referred to are available on-line. Non compliance with University procedures can potentially invalidate the insurance cover otherwise provided for the student's participation in University course related activities. 

 

Australia - Single/Multiple Overnight Overseas
1. Trip Coordinator must undertake a 3D risk assessment of the planned activities specific to the field trip.

2. Trip Coordinator to seek Faculty authorisation for field trip through the Student Centre Teaching Liaison Unit as per Faculty Field Trip Policy, Policy and Procedures Manual.

2. Check Smartraveller warnings on the DFAT site.
3. Trip Coordinator to liaise with Teaching Liaison Unit to organise advertising of trip and EHS requirements to students. 3. Trip Coordinator to read  Overseas Travel Approval Considerations for Staff  (55kb pdf) and Overseas Travel Approval Considerations for Students  (55kb pdf) and seek appropriate approval if DFAT ratings require you to do so.

4. Completed HR18 and 3D risk assessment to be lodged with Finance Travel Officer for checking and Dean's authorisation prior to departure. 4. Trip Coordinator to seek Faculty authorisation for field trip through the Student Centre Teaching Liaison Unit as per Faculty Field Trip Policy, Policy and Procedures Manual.

5. Trip Coordinator to inform students prior to activity that they are required to submit to the Student Centre a Medical Questionnaire (40kb pdf) and view the Faculty's "Field Trips and Site Safety Procedures" (550kb pdf) presentation if they have not attended the lecture. Students are not permitted to attend activity otherwise.

5. Trip Coordinator to liaise with Teaching Liaison Unit to organise advertising of trip and EHS requirements to students.
6. Trip Coordinator to run through the risk assessment spreadsheet at a meeting with all students and discuss other potential risks and control measures specific to the field trip. Students are required to sign an attendance record of this meeting.

Ensure an appropriate trained first aid officer is present on field trips and you carry a first aid kit. First Aid Kits for Field Work are available from the Compliance Coordinator and should be booked in advance.

COMMUNICATION: If travelling in remote areas, please ensure you have appropriate means of communication in case of emergency.

9. Students should be offered the option of submitting a "medical intervention letter" to their coordinator if they have a medical condition they do not wish to announce. This letter is to be opened only in cases of emergency.
  10. Advise students to submit their University Insurance Registration forms to the Student Centre at least two weeks prior to travel.

  11. Staff and Students to consult the Occupational Health Service concerning any vaccinations at least 6 weeks prior to travel. Also refer to www.traveldoctor.com.au/ for destination vaccination travel requirements.

All documentation and forms referred to are available on-line. Non compliance with University procedures can potentially invalidate the insurance cover otherwise provided for the student's participation in University course related activities. Staff Coordinating off-campus activities are required to familiarise themselves with Chapter 7.1 "Off Campus Travel and Work Policy" of The University of Melbourne Environment, Health & Safety Manual so that they are fully aware of their duty of care requirements.
